Session Bookings Terms and Conditions (UK) – GDPR Compliant and Refund Policy

By booking a session with The Little Village of Imagination, you agree to the following terms and conditions:

 

 

  1. Booking Confirmation and Data Protection:

1.1. All session bookings are subject to availability.

1.2. A booking confirmation will be sent to your provided email address upon successful registration and payment.

1.3. The Little Village of Imagination is committed to protecting your personal data and complies with the General Data Protection Regulation (GDPR) and other relevant data protection laws.

 

 

  1. Personal Data Collection and Usage:

2.1. In the booking process, The Little Village of Imagination will collect personal data necessary for registration and communication purposes. This may include but is not limited to your name, contact information, and any relevant medical or health details for class participation.

2.2. The Little Village of Imagination will use this personal data solely for the purposes of managing your class booking, providing class-related information, and ensuring a safe and enjoyable class experience.

 

 

  1. Data Retention:

3.1. The Little Village of Imagination will retain your personal data for as long as necessary to fulfil the purposes for which it was collected, including legal or regulatory obligations. Afterward, your data will be securely deleted or anonymised.

 

 

  1. Third-Party Data Sharing:

4.1. The Little Village of Imagination will not share your personal data with third parties for marketing purposes. However, it may share relevant information with class instructors or service providers involved in facilitating the class.

  1. Videos, photographs and confidentiality:

5.1. We may request to take photographs or videos during sessions to use for marketing and promotional purposes, which may include, but is not limited to, use on social media, promotional materials or our website. You will be asked at the session where this takes places whether or not you consent to being included in these images or footage and images and usage will be in relation to our privacy policy that can be found on our website here https://thelittlevillageofimagination.co.uk/policies. Where images are used in this way no additional personal information or names will be linked to them, unless specific additional permission is sought from the individuals involved.

5.2. We love you taking photos and videos of your own children during our sessions provided it doesn’t interfere with the running of the sessions.

5.3. Please do not take photos of others without their permission.

 

 

  1. Refunds and Cancellations:

6.1. Refunds are available for session bookings as follows:

– Full Refund: Cancellations made at least 14 days prior to the session start date will receive a full refund.

– No Refund: Cancellations made less than 14 days before the session start date are non-refundable.

6.2. To request a refund, cancellation must be made in writing via email to info@thelittlevillageofimagination.co.uk

 

 

  1. Rescheduling:

7.1. In the event of unforeseen circumstances preventing a participant from attending the session, The Little Village of Imagination will do its best to accommodate a rescheduling option, subject to availability.

7.2. To request a rescheduling option, please contact The Little Village of Imagination using the contact information provided below.

 

 

  1. Attendance and Participation:

8.1. Participants are expected to adhere to session rules and guidelines as communicated by The Little Village of Imagination ‘s instructors.

 

 

  1. Health and Safety:

9.1. Participants must inform The Little Village of Imagination of any medical conditions, allergies, or other health considerations that may affect their participation in the session.

9.2. It is the responsibility of the participant to ensure they are physically fit to engage in the session activities.

 

 

  1. Liability:

10.1. While The Little Village of Imagination takes all necessary precautions to ensure a safe and enjoyable experience, participants acknowledge that participation is voluntary and involves inherent risks.

10.2. The Little Village of Imagination, its instructors, and staff shall not be held liable for any injuries, accidents, loss, or damages incurred during the session.

 

 

  1. Changes to T&C’s:

11.1. The Little Village of Imagination reserves the right to update or modify these Terms and Conditions at any time. The latest version will be posted on our website.

 

By proceeding with your session booking, you acknowledge that you have read, understood, and agreed to abide by these Terms and Conditions, including the GDPR-related data protection provisions and Refund Policy.
